How do I get a charter bus to the Minnesota State Fair?

Taking people to and from our state’s iconic State Fair by bus is a point of pride

The Minnesota State Fair & Lorenz Bus Service: 20+ years of fun

Since 2008, Lorenz Bus Service has been the main transportation provider for the Minnesota State Fair’s free park-and-ride service. Today we operate approximately 75 buses on weekdays and over 125 buses on weekends. The service runs for all twelve days of the State Fair.

We provide over 2 million individual rides to approximately 1 million people. Many require ADA accessible service, which we are able to provide on nearly every route. Lorenz Bus Service takes great pride in having the largest ADA accessible fleet in Minnesota.

30 parking lots means lots of variables

Riders come to the Fair from over 30 parking lots. There are 30 different routes, which vary based on the day. Many of the parking lots are from churchs, which are unavailable on Sunday mornings. The largest, most popular lot—the University of Minnesota—typically isn’t available on one of the two Thursdays due to a Gopher football game. At the Fair, there are three different drop-off locations—the Transit Center, Midway Parkway, and the Loop Gate. Lorenz manages each drop-off location.

The Minnesota State Fair is unique in that it utilizes a private roadway, the University of Minnesota transitway, to enter and exit the transit center. By using a road that is reserved strictly for buses, bicyclists, and emergency vehicles, the park-and-ride buses operated by Lorenz are able to avoid the traffic surrounding the fairgrounds. In other words, riding a Lorenz bus to the State Fair is the best and quickest way to get there; there’s no traffic and you get dropped off right at the gate!

The buses don’t stop

Shuttle service is provided from 8:00 AM until 11:00 PM each day.

Each driver receives individualized training prior to the Fair to ensure they are comfortable and familiar with the routes they are driving. On average, our drivers have driven the State Fair for Lorenz for 5 years on average, which means the drivers we employ have a substantial amount of experience working within the transit system.

In an effort to ensure the drivers are well rested, the daily shuttle service is broken into two shifts: a morning shift and an evening shift. At approximately 3:00PM each day, a shift change occurs. It takes significant attention to detail to execute the shift change correctly. With over 75 vehicles on weekdays and 125 vehicles on weekends, there are 150 drivers on weekdays and 250 drivers on weekends who are taking part in the shift change. With over 20 years of experience operating the park-and-ride service, Lorenz staff are able to execute this change over while also ensuring continuity of service for the fairgoer.

Boots on the ground: Supervisors on site

The next time you’re at the Fair, you may notice Lorenz supervisors with two-way radios. They’re coordinating with drivers and Fair volunteers who are at each of the 30+ parking lots. As parking lots fill up, buses are switched from route to route to keep wait times minimal. Throughout the day, based on the Fair event schedule and lot capacity, buses may alternate between routes.

At the end of each day

When the sun goes down, the lights come on and the Minnesota State Fair continues to thrill people who’ve traveled from points near and far to ride the Giant Slide, listen to music, and enjoy a Pronto Pup.

When things finally wrap up for the evening, our drivers return buses to Lorenz. Each vehicle is cleaned, maintained, and parked for use the next day. Fuel levels and fluids are checked. Radios are recharged. People go home for some well-deserved rest.

That’s our transportation contribution to the Minnesota State Fair. We take great pride in what we do.

We hope to see you there!

Charter Bus Service for a World Cup Event

The inside story of a local Olympic legend, a local charter bus company and the international Stiffel Loppet World Cup Cross Country Skiing event

Jesse Diggins of Afton, Minnesota, is “one of the most dominant and successful cross country skiers in the world,” according to the US Ski Team. Her accomplishments include 13 years on the team, three Olympic medals, and Overall World Cup Champion in 2023.

As the first U.S. Olympian ever to win a cross country skiing title, her strongest wish was that a world cup event be held in Minnesota. In fact, the United States has only hosted a World Cup event a few times, and not once in the last 23 years.

But all that changed last February. Six years after she made her request for a World Cup cross-country event, Jesse’s dream was realized: The STIFEL Loppet World Cup was held in February at Theodore Wirth Park.

An electric event – with charter transportation challenges

The environment was electric and captivated the attention of the entire sport. But the venue had limitations, and with more than 20,000 daily attendees, transportation was a critical component. This is where Lorenz entered the equation, and we were proud to provide charter transportation solutions that made the event a success.

Moving athletes, officials, spectators…

With international team participants arriving at the MSP airport over several days, Lorenz Bus Service provided meet and greet service, escorted the teams to the charter bus area at the airport, and used motor coaches to get them to their hotels for some much-needed rest. Other key aspects of the event included:

  • Charter School buses transported more than 4,000 spectators and attendees between the Resideo Headquarters and the event.
  • 56-Passenger Motor Coaches provided shuttle service to transport all teams between the host hotels and Theodore Wirth Park.
  • Low-floor Handicapped Accessible Transit buses provided shuttle service between the Mortenson parking ramp and the trailhead.
  • Mini buses shuttled sponsors and VIPs between the Four Seasons Minneapolis and Theodore Wirth Park.

…and all the gear

An event of this size requires moving significant amounts of gear to the right place at the right time. Some examples:

  • Equipment trucks transported team equipment between wax cabins (cross-country skiers still use wax to optimize performance) and the airport.
  • All bags were tagged and transported to the charter bus area. We utilized carts and porter service to get the gear from the Silver Ramp into the check-in gates.
  • Lorenz project managers spent hundreds of hours planning, mapping, timing, and driving routes to ensure service that is equal to cross country skiing’s biggest stage.

Praise from from the athletes

“The course and all the people: it was so much fun to race out there,” said Johannes Hosflot Klaebo, one of Norway’s most decorated cross-country skiers. “I wish this could be part of the World Cup circuit every season. We need to come back here, that’s for sure. I’ll just cheer a little extra for Jesse Diggins tomorrow.”

5 Minneapolis-St Paul School Field Trip Ideas

Teachers know the “usual suspects” when it comes to planning a school trip in the MSP area (The Science Museum, etc.).

But here at Lorenz Bus Service we’ve been planning and executing charter bus field trips in the MSP area for decades, and we want to remind everyone that the Twin Cities hare has more than a handful of good field trip options.

Guthrie Theater

Here are five charter bus school trip destinations that are easily overlooked:

  • Walker Art Center: Ideal for art-focused field trips, the Walker Art Center features contemporary and modern art installations, as well as educational programs designed to engage students with art and culture. It is one of the 5 most visited contemporary art museums in the country, with a 125+ year history. There are good planning tools online.
  • Guthrie Theater: The Guthrie Theater offers school groups the opportunity to experience live theater productions and provides educational programs designed to enhance students’ understanding of the performing arts. Their Student Matinees provide a way to experience live theater for the first time, and include contemporary new work as well as classic Shakespeare plays.
  • Minnesota Children’s Museum: Geared towards younger students, this museum offers interactive exhibits and hands-on learning experiences that encourage exploration and creativity. There are 11 interactive exhibits that “cultivate lifelong skills” such as creative and critical thinking, confidence, and communication. It is a celebration of learning through play.
  • The Bakken Museum. Focusing on science and innovation, the Bakken Museum offers a range of exhibits and activities that engage students in the world of electricity, magnetism, and invention. Field trips enable students to explore connections between history, science, and engineering. A variety of activities are available for school trips.
  • Fort Snelling State Park. A historical site with educational programs, Fort Snelling allows students to step back in time and learn about Minnesota’s history during the 1800s, including its role in the Civil War and Native American history. Field trips are led by naturalists who bring the experience to life. With more than 1.0 million visitors each year it is wise to plan ahead.

Basic charter bus research can help avoid hiring the wrong company

There are thousands of charter bus companies to choose from in the U.S.

That’s the good news. It’s also the bad news.

With so many choices, how can you be sure you’re selecting a reliable charter bus provider? Here are 3 ways to “kick the tires” of a charter bus company before you buy.

Group of Lorenz Charter Buses

3 ways to evaluate a charter bus company

  1. Look for “trust signals” on their website. A good rule of thumb is this: Quality charter bus companies often have quality websites. By “quality” we mean:
    • A good “Request a Quote” function that’s accurate and fast.
    • An “About Us” section that shares the number of years the company has provided service, company leadership, staff information, core values, and so forth.
    • “Service from experts” that connects you to a human being who is trained to answer questions and solve problems.
  2. Ask tough questions. Established charter bus companies have learned from experience, and they should be ready to share their knowledge. Some examples of questions to ask:
    • What are the safety and maintenance protocols for vehicles?
    • In the event of a breakdown, medical emergency, or serious weather event, what are the procedures the company follows?
    • How are drivers trained – and will your driver be experienced in handling the type of trip or event for which you’re arranging transportation?
  3. Check safety records. The Federal Motor Carrier Safety Administration maintains a good website with safety tips and safety records of many charter bus companies. Some of their evaluation criteria include:
    • Unsafe driving
    • Crash records
    • Compliance with regulations
    • Vehicle maintenance
    • Driver history

Select the Right Driver for a Charter Bus Trip

10/18/2023

When it comes to charter bus drivers, many if not most customers simply take what they get.

In our view, this is a missed opportunity. Drivers can add significantly to a charter bus trip depending on their experience, attitude, personality, and knowledge.

All it takes to zero in on the right one is a few well-informed questions directed to the charter bus company you’re considering hiring. Here’s what we at Lorenz suggest you ask to get a driver with the right fit.

Lorenz Charter Bus Driver in Minneapolis

How to find the perfect charter bus driver

Experience. This qualification refers to the number of years behind the wheel, the number of times the driver has driven the particular route or destination you’re planning on, and the length of time he or she has worked for the company. Experienced drivers tend to be calm, careful, and good decision makers who know traffic and parking laws and regulations. They also can add value by being tour guides who enrich the experience for passengers.

Personality. We at Lorenz always ask about the type of group that’s going on the trip. Serious corporate excursions may require a quieter, more serious driver. Outings to sports events can be made even more fun if the driver is also a fan. The company you choose should be ready to have a conversation about the type of group that’s getting on the bus, because their driver sets the tone.

Communication. Good charter bus drivers know how (and when) to make contact with charter group leaders. Ask your charter bus company if the driver they recommend has good communication skills (good listener, courteous tone, prompt responder, clear speaker, etc).

Punctuality. Being on time (or early) is essential, and most professional charter bus drivers will be 10-15 minutes early to allow for loading passengers, luggage, and coordinating with the group’s leader. If they’re late, the group leader should receive prompt notification. Granted, drivers aren’t in control of traffic, but before hiring a charter bus company it’s reasonable to ask if drivers are instructed to arrive early.

Discipline. This characteristic might also be called “professionalism,” but the point is that charter bus drivers are trained to execute their job in a certain way according to certain rules. For example, drivers cannot drive more than 10 consecutive hours. Driving in a four-bus convoy requires that certain safety standards are observed. Unruly passengers who break the rules need to be addressed effectively. It takes discipline. Make sure your driver has it.

How to sleep on a charter bus

09/11/2023

Some people can fall asleep right away on a charter bus trip while others struggle to doze off.

And sometimes being able to rest while traveling on a charter bus trip can have a huge impact on your energy, mood, and attitude.

That’s why we at Lorenz Bus Service think it’s worth sharing some pointers we’ve learned over the years on the fine art of how to sleep on a charter bus.

Interior of a charter bus with rows of black leather seats and blue ambient lighting

Things to bring

  • Pillows. They work because they’re designed to keep your neck supported. We suggest an inflatable model for easy storage.
  • Masks. Soft and comfortable and a good sleep aid for daytime naps.
  • Noise-cancelling headphones. These can be useful if you don’t like turning up the volume on your music.
  • Blanket. Our advice: Bring your own. And use it anytime you need comfort and warmth, even if it’s an aggressive air conditioning jet.
  • Water. Staying hydrated will allow you to rest comfortably. Excessive fluid intake demands more bathroom visits. Find the balance.

Your seat matters

  • Design. Most charter bus seats are comfortable, but check out the legroom and reclining function.
  • Location. The front of the bus will expose you to more headlights at night. The back of the bus will be the bumpiest ride. The middle is usually the smoothest ride. Sitting at a window seat may give you control over curtains or shades.

Sleep aids

  • OTC products. Different customers have told us they use melatonin, Dramamine, Zzzzquil and other sleep aids readily available at any pharmacy. Talk to a healthcare provider regarding the right decision for you.

How to plan a charter bus experience for your company

When you’re in charge of choosing a charter bus company to handle corporate travel, there’s a lot riding on your decision, so to speak.

Your selection of a charter company will be a reflection on you, and each passenger will judge the trip in part by their charter bus experience.

Lorenz Bus Service is an expert in serving corporate clients, and we’d like to share these planning pointers with corporate travel planners and anyone who has the job of selecting a charter bus partner for corporate travel.

Lorenze charter bus in front of The Toro Company

Start by defining your requirements

Begin with these basics:

  • Group Size. Even if it’s a range of passengers, determine the total number of employees or participants. Your vehicle decision depends on it.
  • Travel distance and duration. Does the charter company’s fleet have vehicles to handle the trip? Do they have experience with trips to your destination?
  • Amenities and creature comforts. The top ones: W-fi. Power outlets. Reclining seats. Air conditioning. And last but certainly not least, onboard restrooms.
  • Luggage and storage space. Estimate vehicle capacity versus passenger luggage needs. And remember, day trips will obviously require less luggage than overnight outings.

Know the company you keep

There are lots of charter bus companies out there. You’ll find varying standards for training, vehicle maintenance, service, safety, and levels of experience. Do your own research and your own thinking.

  • Websites. Visit the websites of charter bus companies and dig into their background. Read testimonials. Look at the About Us section. Review their online booking functions. Do they seem like an easy company to work with?
  • Online reviews. Check social media and other online travel review platforms to gauge the experiences of other corporate clients who have used the services of the charter bus company.
  • Licenses and insurance. As you develop a short list of possible providers, check for necessary licenses, permits, and insurance coverage.

Safety and maintenance

To protect your travelers – and yourself – be sure to check into the charter company’s safety standards. It’s an important part of making a sound decision.

  • Records. For example, information regarding their driver training and certification processes. Also, Better Business Bureau records can be useful.
  • Vehicle maintenance. Legitimate charter companies will have standards for engine and body care, as well as cleaning protocols.
  • Safety Features. Inquire about the safety features available on their buses, such as seat belts, GPS tracking systems, and emergency exits.

Professionalism and service

Look at these metrics:

  • Responsiveness. How fast is your communication being returned? Is there a dedicated human contact you can reach? How does the company respond to variables?
  • Drivers. Drivers can add a lot of value to a corporate charter bus trip. They can also take away a lot. Ask about the qualifications and experience of the specific driver(s) the company recommends for your trip.
  • Support. Ask about 24/7 customer support during the trip to address any unforeseen issues or emergencies.

Transparency

Ask for detailed cost estimates first, then make sure the contract is consistent with the estimate and whatever other agreements have been made.

  • Pricing. It’s perfectly acceptable to ask for a line-item breakdown of costs. This includes any additional costs or surcharges.
  • Contracts. Carefully review the contract terms and conditions, including cancellation policies, payment schedules, and any specific requirements or restrictions.

Flexibility

Changes happen. Ask how the charter company would accommodate these types of requests.

  • Corporate signage. Is it possible to mount signage on the bus to reflect your corporate identity?
  • Weather. Ask about flexibility to adjust schedules based on weather.
  • Scheduling. Discuss any flexibility required for pick-up and drop-off locations, as well as adjustments to the itinerary during the trip.
  • Emergencies. In the event of a medical or road emergency, what are the company’s practices?

How to make a casino charter bus trip a sure thing

08/17/2023

Things to know before you go

When it comes to great casino options, it could be said that the greater Minneapolis St. Paul region has an embarrassment of riches.

With prominent destinations such as Treasure Island, St. Croix Casino, and Grand Casino, the question is not if to go, but where to go first. Lorenz Bus Service, which has been operating casino charter bus trips for many years, has these insights to offer.

Lorenz Charter Bus to Treasure Island Resort

Hitting the highlights

Each casino has unique attractions and amenities, so allow us to summarize the most notable ones.

  • Treasure Island Casino. Located in Welch, Minnesota, Treasure Island is approximately 43 miles from the Twin Cities, and it offers a wide array of gaming options, name-brand live entertainment, fine dining experiences such as Tado Steakhouse, and Minnesota’s 2nd largest hotel. There is also a spa, marina and the Mount Frontenac golf course.
  • St. Croix Casino. Situated in Turtle Lake, Wisconsin, St. Croix Casino is about 75 miles from the St Paul metro area. It has a vibrant gaming floor including a sports book, delicious dining options, and occasional live performances.
  • Grand Casino. With locations in Hinckley (80+ miles from Twin Cities) and Mille Lacs (104 miles), Grand Casino offers an extensive selection of gaming opportunities. Entertainment is a blend of local and national acts. Both casinos have many dining choices, lodging options, spas, and golf.

Transportation and logistics

While each casino no doubt will help you coordinate a charter bus trip, it may be better to coordinate through the charter bus company instead.

Why? Simply because the charter bus company will be experienced in optimal pickup and dropoff points, traffic patterns, and the right charter vehicle for your group.

Also, casinos are big, busy places with lots for charter tour groups to do, and your charter bus company may be able to help develop an itinerary to make the most of your time at the casino.

Our suggestion is to choose a charter bus company experienced in casino getaways and start there. Once you’ve established a provider and selected a casino as a destination, then you can contact the casino to see what services they offer tour groups.

Game on: Getting oriented

As we mentioned, if you’re not familiar with casinos, they can be overwhelming at first.

Your charter bus company will establish dropoff and pickup points, but it’s a good idea to consider arranging for casino representatives to provide a brief overview of the gaming floor, highlighting the different gaming options available and offering guidance for novice players.

Some casinos will help you with slot or card tournaments for your passengers, adding excitement and competition to the trip. Restaurant reservations, tickets for entertainment, and other special events can also be coordinated with the casino.

Keeping it healthy

Gaming and casinos in general can be intense experiences that pull people in with lots of options for entertainment.

We think it’s a good idea to make safety a priority for everyone, promote responsible gaming practices, and do what’s possible to ensure participants’ well-being.

6 Steps to a Wedding Transportation Schedule

6 Steps to a Wedding Transportation Schedule

08/12/2023

How to make The Big Day run smoothly

Many weddings involve out-of-town guests, people staying in different hotels, and guests with special needs.

The result is often a transportation-scheduling nightmare, which can be avoided with a little advanced planning. Lorenz Bus Service has been handling wedding transportation in the greater Twin Cities area and all over Minnesota for many years.

Wedding party on Lorenz Charter Bus

In the interest of starting more marriages off on the right foot, we offer these tips more shuttle scheduling.

  1. Calculate your passenger count
    • Passenger count will determine both vehicle size and shuttle schedule. If you don’t have a good estimate, 2.5 passengers per room within your room block is a good benchmark that typically holds true to ridership.
    • Even if you start with a rough range of guests, it’s better than delaying transportation planning and vehicle selection for too long.
  2. Determine the travel time between hotel & venue
    • The shuttle schedule depends on the time built in for travel between the hotel(s) and the wedding venue(s).
    • Make sure to consider local transportation infrastructure (roads, bridges, etc), time of day, traffic patterns, and local events that could cause delays.
    • Use Google Maps to get travel time estimates based on historical traffic data.
    • Remember that buses are slow to merge and travel 30 to 40% slower than cars.
    • Plan on allowing extra time.
  3. Factor in spot time & loading/unloading time
    • Wedding guests typically view your timeline as a general guideline rather than a schedule.
    • Guests run late for lots of reasons: Socializing with family and friends, taking longer to get on or off a bus, holding the bus for their friends, or running back to their room for a forgotten item. This is why it’s industry practice to build in 15 minutes of spot time.
    • On average, it takes 5-7 minutes to load or unload a bus, and that does not account for the extra time it takes elderly or slow-moving guests. We recommend building in at least 5 additional minutes prior to the event for loading, and 7 minutes for loading post-event shuttles.
    • For service to multiple hotels, add this time in for each stop.
  4. Simplify
    • When there are multiple hotels, locations, and groups, it is best to create a simple schedule. A few reminders:
      • Using multiple buses can be a straightforward solution that keeps everything running on time.
      • Staying focused is necessary. Adding in extra trips to different locations spontaneously is a sure way to get off schedule.
      • Try to let guests know that they should respect the schedule. Sometimes they’ll try to improvise and commandeer use of the vehicles for special stops. Drivers, who don’t always have a direct contact with the group, can be misled.
      • If you have a complex schedule, you’ll want a shuttle coordinator (family member or friend), or a hired event planner to take control of the schedule.
  5. Designate a bus/shuttle coordinator
    • Even if only 10% of the guests have a special need on your wedding day, it can be a lot to manage.
    • A bus/shuttle coordinator will give guests a designated, hands-on contact to ask questions and get answers. This will help keep the schedule on time and spare members of the wedding party from having to handle logistics when they should be having fun.
    • We recommend including the bus/shuttle coordinator’s name and phone number right on the schedule and having this person interface with the driver at the beginning of the day and before each movement at the end of the night.
  6. Determine your vehicle type(s)
    • Pick a vehicle that has adequate capacity and corresponds with the schedule you need.
    • Remember, you can move fewer people with a bigger vehicle but not more people with a smaller vehicle.
    • At the end of the night, it is always good to have a cushion to make sure you can get everyone back to the hotel once the venue closes.
